Herbap Matrix will collect, use and disclose users’ personal data (hereinafter referred to as “Personal Data”) in order to create a safe, smooth, efficient and personalized experience for you. This Privacy Policy outlines Herbap Matrix’s policies and responsibilities regarding the collection, use and disclosure of Personal Data.

Part 1: General Customer Information Privacy Policy Statement

1. Personal Data Collection Statement 1.1 Except for the purpose of providing services to users and protecting the accounts opened by users with Herbap Matrix, Herbap Matrix will not collect any unnecessary Personal Data from users. 1.2 When you use our website, Herbap Matrix may request you to provide Personal Data. Personal Data includes but is not limited to: user’s name, date of birth, gender, telephone number, email address, residential or other address, and payment account information. Please note that when collecting Personal Data, users will be required to provide certain necessary Personal Data (such data will be specified at the time of collection).

2. Use and Disclosure of Personal Data 2.1 If a user provides any Personal Data to Herbap Matrix, it shall be deemed that Herbap Matrix is authorized to collect, retain and use the user’s Personal Data for the following purposes: (a) Providing customer services to the user, including but not limited to processing and handling orders and refunds for products offered on the website; (b) Providing more personalized website services to the user and responding to the user’s enquiries, comments or complaints; (c) Providing Herbap Matrix’s communications and marketing information to the user; (d) Conducting surveys or statistical analysis to improve products and services and for marketing purposes; (e) Verifying the user’s identity; and (f) Making necessary disclosures for any of the above purposes or as required by law.

2.2 The user also agrees that Herbap Matrix may disclose and transfer their Personal Data to third-party service providers engaged by Herbap Matrix to assist in providing services (including data entry, management of customer databases, processing, fulfillment and verification of sales, orders, refunds and/or product exchange services, promotional contacts, delivery services and other customer services, and the secure handling of users’ Personal Data) (hereinafter referred to as “Third-Party Service Providers”). All Third-Party Service Providers are under a duty of confidentiality to Herbap Matrix and may only use the user’s Personal Data for the purposes set out in section 2.1 above, and shall not use such data for their own purposes (including direct marketing).

2.3 If necessary, Herbap Matrix may disclose and transfer the user’s Personal Data (whether in Hong Kong or overseas) to Herbap Matrix’s professional advisers, law enforcement agencies, insurance companies, government and regulatory bodies and other organizations for the purposes described in section 2.1(f) above.

2.4 Herbap Matrix may use your Personal Data to provide you with marketing information related to the following goods and services: (a) Products or services provided or sold by Herbap Matrix retail stores; (b) Other commercial companies.

The categories of products and services of the above parties include: retail, beauty and cosmetics, health, personal care, medical, infant care, prenatal and postnatal care, insurance, finance, music, sports, gaming (lucky draws), catering, travel, transportation, banking, electronics, home decoration, household products, textiles, telecommunications, food and beverages, groceries, office and business supplies, technology, outdoor activities, furniture, lighting, decoration, media (including digital media), e-commerce platforms and service providers (including online transactions, payments and auctions), and publishing, etc.

2.5 Herbap Matrix may share aggregated data that cannot identify individual users with third parties for various purposes (including marketing and promotion), and may use such data to better understand user needs in order to improve Herbap Matrix’s products and services.

2.6 Any Personal Data provided by the user will be retained by Herbap Matrix and may be accessed by Herbap Matrix employees, Third-Party Service Providers and third-party organizations engaged by Herbap Matrix for the purposes set out in section 2.1 above.

3. Therefore, Herbap Matrix cannot guarantee the security of information transmitted by users to or received from Herbap Matrix via the Internet.

5. Website Links This website may contain links to other websites and sites operated by third parties. Herbap Matrix has no control over the content of such websites or the manner in which they handle users’ Personal Data. Users should review the privacy policies of such third-party websites to understand how they use users’ Personal Data.

6. Data Collected When Users Use This Website We may use small text files (“Cookies”) on this website for the following purposes: (a) Enhancing security measures; (b) Enabling online customers to continuously browse the website; (c) Personalizing website content according to individual customer needs; and (d) Creating personal profiles for online customers or visitors.

Updates to the Privacy Policy Herbap Matrix may revise or update this Privacy Policy from time to time and upload it to this website with the update date so that users can understand the latest version of the Privacy Policy. Under applicable law, the English version of this Privacy Policy shall prevail over any other language versions. In the event of any ambiguity between the English version and other translated versions, the English version shall prevail.

Part 2: Privacy Policy Statement for Customer Data Collected via the Herbap Matrix Website and Herbap Matrix Mobile Service Devices

1. Security Measures Herbap Matrix places great importance on Personal Data collected through this website and mobile service facilities. All Personal Data collected through the website and mobile service facilities is protected by encrypted servers. In addition, SSL (Secure Sockets Layer) will protect the security of data transmitted from the Internet to the system.

For example, when you transmit sensitive data (such as credit card information) through the website, the information will be encrypted before being transmitted via the Internet.
